Hi everyone,

Please find attached the agenda for the Mercian Mountaineering Club AGM which will be held at the Wagon & Horses at 8:00pm on Thursday the 26th of November 2015.

Reports from the committee
The committee members will be giving brief reports about their activities over the past year. The treasurers report is usually very interesting as you can see how much we have in the bank and how we spend your membership fees. It’s also entertaining to hear the meets secretary give a round up of the past year’s meets and describe what’s in store for us in 2016.

Children in huts
Of particular interest to everyone is the discussion and subsequent vote on proposed changes to the constitution that would allow children to spend the night in huts. Pierce Ferris has proposed wording for changes to the constitution that could pave the way for children to become members of the club and spend the night on hut meets. The committee has proposed wording that it feels is a compromise between the status quo and Pierce’s wording. Huw Davis has proposed wording that he feels is more appropriate than both of these. So we have three proposals! You will find the proposals included in the attached Agenda, the sections highlighted in red contain the additional words. Please take the time to read these before the AGM.

We will debate the various aspects of the proposals and then conduct a closed ballot. For each proposal you will be able to say whether you accept the wording, a simple yes/no. It may be that you vote yes for all three, or no for all three. The proposal with the most yes votes, so long as it has over two thirds majority, will be passed. In the unlikely event of a tie in which more than 1 proposal achieves a two thirds majority, those present will vote once more, in a closed ballot, for the proposal which they prefer. If none of the proposals receive a two thirds majority the constitution will remain unchanged. If you live outside the Birmingham (B) postcode area and would like to exercise your right to a postal/email vote then please DM me before the 24th of November 2015.

Norman Wright memorial
Club secretary Vicki Cox has done some research into some permanent fixed memorials that the club might chose to fund in memory of founder member Norman Wright who sadly passed away earlier this year. Vicki would like to share this with the club and see if other members would like the new committee to pursue this any further.

Election of the new committee
I hope you’ll agree that the committee has done a fine job in the execution of their duties over the past year. We will end the AGM with the election of a new committee. I know that some members of the committee will be happy to continue in their posts, or change posts. But some may prefer to stand down. This is therefore your chance to get involved with the running of the club. You may stand for any post you like during the elections and if more than 1 person stands for a post there will be a closed ballot to decide the winner. Best of luck everyone!

Don't forget it's the AGM tomorrow. Please arrive a few minutes early to allow time to get a drink and take yourself a chair upstairs for an 8pm start. We obviously have a lot to get through and I'm sure Derek will want to get to bed at some time tomorrow night. :)

Also, if you can bring a pen that would help as we will be voting on paper.

Finally, remember that the club only works because the committee organises all the meets, events, library and admin. If you would like to be considered to sit on the committee next year then it would be useful if you could let the committee know in advance as it can help to decide the order in which we nominate positions. (For example, we wouldn't want to fill ordinary member only to find then that there is nobody standing for meets sec!)
